Rent Ledger

A rent ledger is the dated, per-tenant record of charges, payments, and balances. Here is how to read one and why it wins disputes.

A rent ledger is a per-tenant running record of every rent charge, every payment received, and the resulting balance, in date order. It is the source document you reach for when a tenant disputes a balance, when you file taxes, and when you need to prove who paid what and when.

In practice

Say a tenant pays $1,500 on the 1st with a five-day grace period and a $75 flat late fee. A clean ledger for one quarter reads as a list of dated lines, each one a charge or a payment, with the balance carried forward:

  • Jan 1, charge $1,500, payment $1,500 on Jan 3, balance $0.
  • Feb 1, charge $1,500, payment $1,500 on Feb 9, which is past the grace window, so a $75 late fee is charged Feb 9, payment $75 on Feb 12, balance $0.
  • Mar 1, charge $1,500, payment $1,000 on Mar 4, balance $500 carried into April.

Read top to bottom, the ledger answers the only questions that come up in an argument: what was owed, what arrived, what day it arrived, and what is still outstanding. The $500 in March is not a he-said dispute, it is a line with a date next to it.

Why it matters to a small landlord

The ledger is the spine of your bookkeeping. The rent income on your Schedule E should tie back to the payment lines on the ledger, dollar for dollar, including kept late fees, which also count as rent received. When you do your monthly close, the ledger is what you reconcile against the deposits that actually hit your account, so a missing or double-counted payment surfaces in minutes rather than at tax time. Keep it current and the year-end work is mostly addition.
